The Challenge

Managing Hallways, Behavior, and Schedules Without Structure Led to Lost Instruction Time

As a newly established institution, KIPP East End High School faced the challenge of creating operational systems from scratch. They faced challenges in the following areas:

Physical Hall Passes Weren’t Effective
Outdated physical hall passes caused disruptions, as they were often discarded, misplaced, or left in the wrong classrooms. Without a pass, students couldn’t leave, further interrupting class time and making consistent enforcement difficult.

Manual Behavior Tracking Wasted Time
Manually tracking behavior through spreadsheets was time-consuming and inefficient, making it nearly impossible to automate consequences. This led to inconsistent monitoring and missed opportunities for timely interventions.

Flex Periods Lacked Structure
The school’s ‘Eagle Hour’ advisory period was difficult to manage with their existing systems, as frequent roster changes and attendance tracking created extra administrative work. This lack of adaptability led to inconsistent supervision and student engagement during flex time.

KEY PROBLEM AREAS:

Physical hall passes were frequently trashed, misplaced, and wasted instructional time

Behavior tracking relied on spreadsheets, which were prone to errors and inefficiencies

Monitoring vaping incidents and other infractions was inconsistent

Teachers found it difficult to manage restroom breaks without disrupting classroom instruction

Lack of consistent processes and insufficient data for reporting

There was no streamlined way to notify parents of behavioral concerns in a timely and strategic manner

Difficulty managing attendance and rosters during flexible ‘Eagle Hour’ periods due to frequent changes and limited scheduling capabilities

Students were not being there for learning time. They’re missing instruction. They’re missing important information. And a lot of teachers were not being cognizant of the first 10, last 10 minutes of using the restroom, which is the most important part of the class period.”

The Solution

Keeping Kids in Class with Automated Hallway and Behavior Management Systems

To address hallway and behavior management challenges, KIPP East End High adopted Minga in August 2024, achieving quick success with strong buy-in from students, teachers, and leadership.

Streamlining Hallway and Behavior Management
Minga’s digital hall pass system replaced outdated manual processes, making it easier and quicker to manage student movement while reducing mistakes. Automated behavior tracking helps keep students in class by making it simple to address issues as they arise. Clear rules for tardiness and hall passes keep disruptions to a minimum and ensure everything runs smoothly.

Building a Positive School Culture
The school developed a “Positives” reward system, where students are recognized for their good behavior and can redeem rewards at the SOAR store, creating a sense of accomplishment. This system makes it easier for the Dean of Students to focus on meaningful school activities and student engagement, helping to build a stronger, more connected community.

Using Data to Make Better Decisions
Minga’s tools give KIPP East the ability to spot trends in behavior and attendance, making it easier to address problems in a way that works. The FlexTime feature has also simplified attendance and roster changes for the school’s “Eagle Hour” advisory period, ensuring all students are accounted for during flexible schedules.

What Minga Offered:

A digital hall pass system integrated with the school’s one-to-one Chromebook program

Automated behavior tracking that Hero didn’t offer, which reduced manual data entry and human error

Real-time data to monitor student behavior trends and implement timely interventions

A platform that allowed leadership and hall monitors to easily see active hall passes

Features that streamlined parent notifications based on behavior thresholds, improving communication and accountability

FlexTime management feature to track check ins and adjust rosters for KIPP East’s ‘Eagle Hour’ advisory period

We were able to track behaviors and give consequences before (with Hero), it just wasn’t streamlined or as clear as Minga. I would physically have to go in and track each person individually. Now, it’s more streamlined — all I have to do is export it, put it in a document, post it, and that’s it.”

The Outcomes

Increased Accountability and Reduced Admin Time Translate into a Greater Focus on Student Success

Keeping Students in Class

Minga’s digital hall pass system reduced time out of class by enforcing clear guidelines and allowing hall monitors to track passes easily. This keeps students in the classroom and minimizes disruptions.

Making Tardiness Manageable

Minga’s tardy tracking system helps students get to class on time by flagging repeat tardiness, triggering parent notifications, and assigning consequences automatically, reducing staff workload.

Saving Time with Automation

Automated behavior tracking has cut down on data entry, giving the Dean of Students more time to focus on student engagement and school activities that enrich the learning environment.

Recognizing Positive Behavior

Minga’s rewards program encourages teachers to provide consistent positive reinforcement, helping students feel valued and motivated. This fosters stronger connections and a supportive school culture.

Empowering Teachers and Students

Streamlined tools for hall passes, tardy tracking, and behavior management free up teachers to focus on teaching, creating a more productive classroom environment for everyone.

Clear Reporting for Better Decision-Making

Minga’s reporting tools give leaders insight into behavior and attendance trends, helping them make informed decisions, target problem areas, and communicate results to stakeholders effectively.

We’re holding everyone accountable through this system that we now have, there is no room for interpretation. It’s made my life as a Dean of Students 100% easier. I’m now able to have more concrete conversations as opposed to guessing. We’re also able to create goals based off this data and it definitely helps us drive the initiatives that we want to put in place.”
